Closing up through a group chat

You post who’s on what and two people react to it. The venue needs a photo of the empty walk-in for the deposit, and nobody is sure who took it.

What your crew sees

A section can go to one person or to a squad

One person

Priya gets Bar breakdown

Seven steps and two required photos, at the top of her list. She doesn’t have to read the rest of the checklist to find her part.

A squad

The stage crew gets Load-out

All five see the same nine steps. When one of them ticks “Truck locked”, the other four see it straight away and nobody walks back out to check.

Your assistant can only do what you can do.

It signs in as you. It can’t see teams you’re not in, or assign work you couldn’t assign yourself.

  1. 01

Assigning someone lets them do it

As soon as Priya is assigned, she can tick her steps and add photos. You don’t share a login or change any settings.

  2. 02

    Every change is logged

The checklist shows “Assigned by Alex via Claude, 11:41 PM”, so you can always tell what you did and what your assistant did.

  3. 03

New people get the work with the invite

Assign someone by email. They get an invite, and their section is waiting for them when they sign up.

Questions

Does my crew need ChatGPT or Claude?

No. Only the person handing out the work uses an assistant. Everyone else opens the ChecklistSquad app on their phone, or the website on any computer.

What if it assigns the wrong person?

It shows you the checklist and who gets each section before it saves anything. You can change an assignment afterwards from the app, or just tell it.

Does it make up the steps?

If you have a template, it uses yours word for word. If you don’t, it drafts one from what you describe and shows it to you first.

What does it cost?

Connecting an assistant is free on every plan. ChecklistSquad itself is free for up to 3 people.
